Job Description

The Admin Assistant will play a key role in supporting the delivery of the Boots and Beards programme. You will be responsible for providing administrative support to ensure the smooth operation of our activities. This role is ideal for individuals facing barriers to employment who are seeking to gain valuable work experience in a supportive environment.

Please note this is a work placement opportunity for the duration of 26 weeks 

Key Responsibilities

  • Provide general administrative support to the Boots and Beards team, including data entry, filing, and maintaining records.
  • Assist in organising events, meetings, and outdoor activities by preparing necessary documents, booking venues, and coordinating schedules.
  • Manage incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring timely responses and follow-ups.
  • Maintain and update contact lists, databases, and other organisational documents.
  • Support the promotion of Boots and Beards activities through social media and other communication channels.
  • Assist in the preparation of reports, presentations, and other documents as required.
  • Assist with office budgets, recording office expenditure and individual project expenditure.

Essential skills, experience and qualifications

Skills, Knowledge, and Aptitudes:

  • Basic proficiency in Microsoft Office (Word, Excel, Outlook) or similar software.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Good communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy in work.
  • A willingness to learn and adapt to new tasks.

Experience:

  • No formal work experience is required, but a willingness to engage and learn in a workplace setting is essential.

Competencies:

  • Demonstrated ability to work effectively with people from diverse backgrounds, particularly BAME communities.
  • Enthusiasm for the outdoors and a commitment to the mission of Boots and Beards.
  • Reliability and punctuality.

 

Desirable Criteria:

Skills, Knowledge, and Aptitudes:

  • Familiarity with social media platforms and basic content creation.
  • Understanding of data protection and confidentiality.
  • Basic knowledge of administrative procedures and office management.

Experience:

  • Previous voluntary or paid experience in a similar role.
  • Experience working within community organisations or with BAME communities.

Competencies:

  • Ability to speak a second language relevant to the BAME communities we serve (Urdu, Punjabi or Hindi) would be useful but is not essential
  • Problem-solving skills and a proactive approach to tasks.

Number of Hours Per Week 21 hours per week for 26 weeks

Working pattern and contracted hours (including any shift patterns)
Monday to Friday

Details of Training Provided

Training in managing office duties such as data entry, filing, correspondence management, and using Microsoft Office tools will be provided. Additional training will cover event coordination, volunteer management, and communication strategies, including social media promotion. The training will be tailored to the applicant’s experience level, with ongoing opportunities to develop new skills as needed.
