Please note this placement is a work placement opportunity for the duration of 26 weeks. This placement will start in January.
Key Responsibilities
• Greeting clients, staff and guests in a friendly and professional manner. Answer telephone calls and directing them to the appropriate person.
• Provision of refreshments to clients and guests.
• Keeping reception area tidy in line with policy and procedure
• Recording of information regarding client appointments using our client database, following the guidelines set in Freedom from Torture clients’ protocol particularly when dealing with distressed clients or clients facing an emergency, in compliance with GDPR (General Data Protection Regulation)
• Day to day responsibility for monitoring the centre mailbox and responding to messages received as appropriate
• Adhering to all Health & Safety and other policies related to reception work, incidents and security
• Assisting with Reception’s petty cash system and make payments to clients and staff when required.
• Taking care of own well-being and take advantage of well-being initiatives offered by the organisation to its staff.
• Compliance with organisational policies and practices, and attendance at mandatory training.
• Any other duties as required by the organisation.
Essential skills, experience and qualifications
• Good general level of education
• Strong written and verbal communication skills to all
• Ability to recognise and value diversity as will be required to work effectively in a multi cultural and linguistically diverse environment.
• Basic skills in MS Teams, Excel, Outlook and Word
• Knowledge of data protection regulations
• Knowledge of reception systems within a clinical and or welfare setting.
• Experience of working within a confidential office environment and demonstrates attention to detail
• Experience of developing effective working relationships at all levels Desirable
• Understanding of human rights, and the needs of those seeking asylum and refugees.
• Ability to organise and prioritise own workload, to work in an organised and methodical manner, independently and within a team
Number of Hours Per Week 21 hours per week for 26 weeks
Working pattern and contracted hours (including any shift patterns)
Monday 9am – 5pm (1 hr unpaid lunch break) Tuesday 9am – 5pm (1 hr unpaid lunch break) Wednesday 2pm – 5pm Thursday 9am – 1pm All staff have a hour unpaid break between 1pm and 2pm when the office closes. The office is closed all day Friday.

Details of Training Provided
The successful applicant would complete our mandatory training programme as part of their induction programme. This includes both in person training on systems and process as well as online learnings.
