Job Description
The Care Facilitator at Healing for the Heart is responsible for ensuring a seamless and supportive experience for people using our community services. This role involves acting as the primary point of contact for people and providing exceptional customer service. The Care Facilitator works closely with the admin and clinical team to support service users ensuring they have a positive experience of all services.
Please note this is a work placement opportunity for the duration of 22 weeks
Key Responsibilities
- Serve as the first point of contact for service users, answering inquiries via phone or in-person.
- Greet service users warmly upon arrival and ensure they feel comfortable and welcome.
- Monitor appointment schedules for counselling clients, keeping records of attendance.
- Maintain up-to-date records of client cancellations, follow-ups and DNA’s.
- Monitor and report on attendance at 1:1 and group sessions.
- Assist in maintaining accurate information on services for all clients and service users.
- Ensure that leaflets and flyers are up to date and available
- Liaise with the Social Media coordinator to ensure that relevant information is available for all service users online.
- Provide emotional empathy to service users, addressing their concerns and questions with sensitivity.
- Work collaboratively with all staff to ensure cohesive care for all service users.
- Participate in team meetings and contribute to discussions.
Essential skills, experience and qualifications
Essential:
- Excellent written and verbal communication skills.
- Compassion and empathy.
- An understanding of the impact of mental health issues.
- Ability to work on own initiative but also to be part of a team.
- Experience of working with or supporting others.
- Strong organisational skills.
- Proficient in the use of Microsoft Office
Desirable:
- Experience in customer service or client facing role.
Number of Hours Per Week 25 hours per week for 22 weeks
Working pattern and contracted hours (including any shift patterns)
Monday to Friday: 5 hours per day to be worked between 9.30am and 8.30pm.

Details of Training Provided
A full induction will be provided to ensure that the successful candidate understands the ethos of the organisation. There will then be the opportunity to shadow the admin team to learn what’s expected in terms of telephone manner etc. Telephone scripts will be available if required. An introduction to and support with recording processes will be provided and 1:1 support and formal supervision scheduled at least fortnightly.
