Job Description

Your primary job will be to carry out work for our central charity support function – business & finance – from our Head Office base at the Jeely Playzone building.

You will work as part of the support team across finance, funding and fundraising, IT, digital and data, HR and general administration. 

Key Objectives are to participate in meeting the needs of the organisation as we progress with our fundraising plan.  To participate in supporting the Business & Finance Service in ensuring compliance and best practice across business operations of the organisation – Finance, HR, Data & Digital, Business Support etc. To ensure the organisation’s centralised support operations are carried out effectively and efficiently, and always in partnership with other departments. To actively participate in contributing to on-going best practice across all activities, ensuring effective communication at all times. To provide sound clerical and admin support to the Early Years service.

 

Please note this is a work placement opportunity for the duration of 22 weeks 

Key Responsibilities

  • To assist to provide an effective and efficient clerical and administration service to our organisation, and to ensure the office and its operations run smoothly.
  • To provide basic clerical support (to include but not limited to) mail – paper and electronic, reception – phones/door entry, dealing with visitors, room bookings, office machinery and supplies, filing and correspondence.
  • Supporting and assisting staff across all functional areas
  • Supporting the Business & Finance Services team across funding and finance.
  • Support the Business & Finance services, and wider, teams across HR and payroll.

  • To assist in ensuring best practice and compliance with GDPR

Essential skills, experience and qualifications

Experience

  • A desire to gain or increase knowledge and experience within an office environment
  • Experience of the charity sector
  • Experience with IT – specifically Microsoft Office products – to a good level,
  • Awareness/experience of personnel, payroll
  • Awareness/experience of finance
  • Awareness/experience of record keeping – paper and electronic, data protection/GDPR
  • Awareness/experience of web site and social media creation tools

Knowledge & Awareness

  • An understanding of the office environment
  • Awareness of the need to work together with other teams/areas of the organisation and ensure everyone works to the correct procedures and practices
  • Awareness/understanding of cloud based software e.g. MS Office 365, Sharepoint etc
  • Understanding of data protection in everyday work practices
  • Friendly, personable approach
  • Willingness to work as part of a multi-functional team
  • Be respectful, act in confidence and be non-judgemental in attitude
  • Enthusiastic and reliable

Skills & Abilities

  • Good numeracy, literacy and analytical skills
  • Good computer skills
  • Ability to work on own initiative and as part of the team

Number of Hours Per Week 25 hours for 22 weeks

Details of Training Provided

Weekly support and supervision meetings held with Head of Business & Finance Services. Daily support from the wider Business & Finance Services team. 

Microsoft 365 training offered along with informal on the job training, coupled with any other relevant administration related training.

Child protection, health and safety where appropriate.
