Job Description

Providing administrative and logistical support to our headquarters staff and the senior leadership team based at our offices in Glasgow.

Please note this placement is a work placement opportunity for the duration of 26 weeks 

Key Responsibilities

  • Administrative Tasks: Provide general administrative support, including managing correspondence, scheduling appointments, and maintaining filing systems.
  • Data Entry and Management: Accurately input and update data in databases or spreadsheets, ensuring information is organised and easily accessible.
  • Communication: support our internal and external communications, including answering phone calls, responding to emails, and assisting in handling inquiries.
  • Documentation: assist in the preparation and editing of documents, reports, and presentations, ensuring high standards of accuracy and quality.
  • Meeting Coordination: help to organise and schedule meetings, events, and conferences, including arranging venues, catering, and necessary materials.
  • Record Keeping: help to maintain accurate records and files in accordance with company policies and relevant regulations.
  • Financial Support: Assist financial leads with budgeting, accounting, and financial reporting tasks.
  • Office Management: Assist in managing office supplies and inventory, ensuring that all necessary materials are available and well-organised.
  • Project Support: assist in the provision of support for specific projects, as required by the HQ leads, to assist project teams.
  • Policy Implementation: assist in the monitoring and review of company policies and procedures, ensuring compliance with regulations and standards.
  • Confidentiality and Security: maintain confidentiality of sensitive information and ensure compliance with data protection regulations.
  • Team Collaboration: collaborate with other team members and departments to ensure smooth workflow and effective communication across the organisation.
  • Training and Orientation: Assist with preparation for onboarding and training of new staff.
  • Any other duties which may be reasonably required within the day to day function.

Number of Hours Per Week 21 hours per week for 26 weeks

Working pattern and contracted hours (including any shift patterns)
0900 to 1700 (with unpaid 1 hour lunch break) 3 days per week.

Details of Training Provided

On the job training will be provided in line with the job responsibilities and the level of training/experience held by the successful applicant.

Other training needs to be addressed through regular supervision/appraisal processes which will be set in place prior to start date and covered in induction process.
