Job Description

The Creative Administration Assistant will support the Village Storytelling team and programmes through a variety of administrative tasks. This will  include promotion of projects/events to ensure we engage with a diverse range of participants within our local community, collecting monitoring and evaluation information and  sharing the stories and creative work of our groups, increasing visibility to a diverse range of potential audiences, participants, partners and supporters.

Please note this placement is a work placement opportunity for the duration of 26 weeks 

Key Responsibilities

Day to day administration:

  • Filing
  • Photocopying
  • Answering phone calls
  • Setting up meetings & taking minutes
  • Coordinating the projects calendar

Social Media:

  • Creating posts to promote and/or celebrate our activities
  • Creating Including image descriptions in posts, to make them more accessible to a wider audience. (Training will be provided on how to do this.)
  • Respond to queries on social media
  • Share and respond to relevant posts and partner information
  • Support the development of a Social Media voice that is in keeping with the values and brand of the organisation

Design & Marketing:

  • Assist in the design of publicity and marketing materials

Monitoring & evaluation of projects:

  • Support delivery teams with monitoring and evaluation activities
  • Recording and storing monitoring and evaluation information effectively and safely
  • Assisting delivery teams to develop Impact Reports
  • Contribute to the ongoing development of the Village Storytelling Centre with the rest of the team through attendance at Weekly catch-up meetings and monthly project meetings, sharing learning and building relationships.
  • Take part in relevant training opportunities (including induction, safeguarding, GDPR).
  • Ensure that all policies and procedures, including health & safety, GDPR and safeguarding policies are adhered to at all times.
  • Carry out other reasonable duties as may be ascribed to the post by the Executive Director and Operations Manager.

Essential skills, experience and qualifications

We are looking for someone who has the following skills and experience:

  • An active interest and enthusiasm for storytelling and/or the arts
  • Experienced in the use of a range of social media platforms to promote events (the Village currently uses Facebook, Twitter and Instagram)
  • Strong copywriting and proof reading skills (although proof reading will be provided by other team members)
  • Excellent attention to detail
  • An interest or some skills in design/visual art
  • An interest in people, community, making links and building relationships
  • Excellent communication skills
  • An enthusiastic and motivated team player
  • An imaginative, enthusiastic and flexible approach
  • Ability to be administratively self-sufficient

Desirable but not essential:

  • Understanding of diverse communities of Glasgow and potential partner organisations
  • Experience of involvement in arts activities
  • Understanding of audience/social media following development

  •  Experience of using Canva or other design platforms

Number of Hours Per Week 21 hours per week for 26 weeks

Working pattern and contracted hours (including any shift patterns)
Monday 3.5hrs, Tuesday 7hrs, Wednesday 3.5hrs, and Thursday 7 hrs

Details of Training Provided

The postholder will take part in:

  • Induction Training
  • Safeguarding/Child Protection Training
  • Training in social media/IT programmes where required
  • Training in making social media more accessible to audiences e.g. Image Descriptions
  • Training in Creative Evaluation methods and ‘storytelling’
  • ‘On the job’ training throughout the placement
  • Additional training opportunities which may be identified as the placement progresses and postholder develops interests in specific areas.
