Job Description

The Research and Administrative Assistant will play a pivotal role in advancing YDance's mission to provide high-quality dance education and opportunities to young people across Scotland. This position supports our organisational goals by conducting essential research and managing administrative tasks that inform and enhance our outreach and project development efforts. The role focuses on analysing data from the Scottish Census and the Scottish Index of Multiple Deprivation (SIMD) to identify areas and communities with the greatest need for our initiatives. Additionally, the Assistant will research and compile contact details for potential partner organisations and groups across all four strands of YDance’s work, ensuring we can build strong, supportive networks to effectively reach and impact diverse communities, including young parents, young refugees, schools, community groups, and professional dance organisations.

Please note this is a work placement opportunity for the duration of 26 weeks 

Key Responsibilities

  • Conduct detailed research on the Scottish census and SIMD data to identify priority areas for YDance projects.
  • Compile and analyse data to provide actionable insights for targeted project planning and resource allocation.
  • Identify and compile contact details of potential partner organisations -including those supporting young parents, young refugees, schools, community groups, and professional dance organisations.
  • Assist in developing reports and presentations based on research findings.
  • Support various administrative tasks, including data entry and maintaining databases.
  • Collaborate with team members to integrate research findings into project planning and execution.
  • General administrative duties.

Essential skills, experience and qualifications

Skills, Knowledge, and Aptitudes:

  • Strong analytical and research skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple tasks efficiently.
  • Basic IT skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint).

Experience:

  • No specific prior work experience required but must demonstrate the ability to conduct research and perform administrative tasks.

Competencies:

  • Demonstrated ability to analyse data and extract meaningful insights.
  • Good organisational skills with the ability to prioritise tasks effectively.
  • Strong interpersonal skills to collaborate with team.

Personal Qualities :

  • Commitment to supporting diverse and vulnerable communities.

Desirable Criteria:

Skills, Knowledge, and Aptitudes:

  • Familiarity with Scottish census data and the Scottish Index of Multiple Deprivation (SIMD).
  • Knowledge of data protection and confidentiality principles.
  • Experience with creating reports and presentations.

Experience:

  • Previous volunteer or work experience in a research or administrative role.
  • Experience working in the third sector or with community organisations.

Competencies:

  • Ability to adapt to changing priorities and work in a fast-paced environment.
  • Problem-solving skills and initiative.

Number of Hours Per Week 21 hours per week for 26 weeks

Induction Training:

  • An initial comprehensive induction program to familiarise the successful applicant with YDance’s mission, values, and operations.
  • Overview of the role, including key responsibilities, organisational structure, and relevant policies and procedures.

Job-Specific Training:

  • Instruction on data entry, report writing, and presentation creation.
  • Training on YDance’s IT systems, including Microsoft Office Suite (Word, Excel, PowerPoint) and any other software used by the organisation.
